VALIDITY AND PRICE GUARANTEE
All prices are based on currency rates of exchange in effect at the time of printing. Bike tour and itineraries are based on airlines/hotel/transportation policies, schedules, and operational conditions at the time of printing.
NON-REFUNDABLE TICKETS & RESERVATIONS
Vietnam Family Search (VNFS) does not recommend purchasing non-refundable airline tickets. VNFS is not responsible for any expenses incurred from booking such tickets or pre-paying for hotels or other non-
refundable reservations until the program reaches its minimum enrolment.
PAYMENT
Full payment is required at time of registration. VFNS reserves the right to cancel any reservation if full payment is not received by the due date and assess appropriate cancellation charges.
CANCELLATIONS
Cancellation by You – If you need to cancel your reservation for any reason, cancellation charges will be applied as shown below, calculated from the day written notification is received by VNFS.
– 60 days or more 10% of participant fee*
– 59 – 30 days 50% of participant fee*
– Less than 30 days 100% of participant fee*
*In addition to the above cancellation charges, airlines may impose up to 100% cancellation charges. If the reason for cancellation is covered by the insurance policy, you may be able to reclaim these charges.
Cancellation by VNFS – VNFS will make every effort not to cancel the event less than 60 days before commencement of the event. We will cancel any or all parts of the itinerary and or service if it becomes unavailable due to circumstances beyond our control, force majeure.
Force majeure includes any event beyond our control which VNFS or its third-party suppliers could not, even with all due care, foresee or avoid (e.g. advice against travel from any, war, threat of war, riot, civil strife, industrial dispute, epidemics, pandemics, health risks, terrorist activity, natural or nuclear disaster, fire or adverse weather conditions, technical or maintenance problems with transport, changes imposed by cancellation or rescheduling of flights by an airline or main charterer. The alteration of airline or aircraft type.)
ITINERARY CHANGES
Vendors/providers that VNFS chooses to work within the timeframe of the event may change personnel, prices, policies, ownership, location, or the way they do business. VNFS constantly monitors such events and reserve the right to make any necessary changes to the itinerary as a result, either before or during the tour.
Should it become necessary or advisable for the comfort or well-being of participants, or upon damage, loss, accident, delay or irregularity of any vehicle, equipment, or machinery, or in transporting or lodging the participants or for any reason whatsoever to alter the itinerary or arrangements, such alterations or changes may be made without prior notice or liability or penalty to VNFS. VNFS will not issue any refunds for unused portion(s) of the tour including but not limited to missed meals and sightseeing.
PERMISSION TO TREAT IN THE EVENT OF A MEDICAL EMERGENCY
During the program, participants authorize VNFS staff to arrange necessary medical treatment for any injuries or ailments in case of an emergency. Participants understand that in the event of an injury during the tour, they will be responsible for any medical expenses beyond what is covered by their personal insurance policy.
MONETARY “TIPS/DONATIONS”
Each participant will REFRAIN from unnecessarily handing out money to people. It brings unwanted attention to the group and promotes negative behavior.
TRAVEL
Participant is solely responsible for arranging and paying for their own travel, including all airfares or other transport costs to and from Vietnam as well as any local transport costs not included in the participant fee. It is the participant’s responsibility to be in possession of valid travel documents, including all pertinent visas & passport, required for leaving their country of residence or citizenship, entering, and leaving Vietnam, and re-entering my homeport. No refund of the program cost will be made, nor will any expense incurred by me due to forgotten, lost, invalid or expired travel documents before or during the program be reimbursed by VNFS.
ARRIVALS & DEPARTURES
The event commences and concludes at the times and locations specified in the itinerary pages and confirmation materials, which will be emailed to participants. If a participant arrives early or late at the designated arrival point or departs early or late at the conclusion of the program, they are responsible for arranging transfers and bearing any associated costs or expenses.
PERSONAL EXPENSES
Personal expenses are not included in the “participant fee”. Personal expenses incurred during the tour include but not limited to travel insurance, laundry, postage, phone calls, additional hotel bills, alcoholic beverages purchased during group meals, personal shopping, and/or other services ordered.
INSURANCE
VNFS does not furnish participants with any form of insurance. Mandatory travel insurance, inclusive of bike riding coverage, must be procured before embarking on the trip. Participants are solely responsible for assessing and selecting the type, scope, and levels of insurance coverage required or preferred for their
intended volunteer travel duration. However, it must encompass the entirety of their travel period. VNFS highly recommends obtaining “Cancel for Any Reason” coverage, an optional supplementary feature of travel insurance allowing cancellation of travel plans for reasons beyond those enumerated as “covered reasons” in a policy.
LIMITATIONS OF LIABILITY
VNFS neither accepts nor assumes liability or responsibility of any kind or nature for any fault, defaults, errors, omissions or negligence of any person, school, association, company, or other type of service provider used in connection with the delivery of the program; nor for any loss, injury or damage to person or property connected with accommodations, transportation, or other types of services. VNFS is not responsible, directly, or indirectly, for cancellations, delays, amendments, loss or additional costs incurred by participants due to
circumstances beyond our control, force majeure.
USE PERSONAL IMAGE, FOOTAGE AUTHORISATION AND CONSENT
The participant authorizes and grants VNFS permission to capture photos/footage during the event. The participant grants VNFS the right to utilize their photos/footage on the organization’s website, Facebook, Instagram, and other social media platforms. The participant consents to VNFS editing, altering, copying, or distributing the photos for social media advertising and marketing purposes. The participant acknowledges that the photos/footage become the property of VNFS and agrees that no monetary compensation will be provided.

If you plan to ride with us, there are some important things to consider;
- You will need to be confident and competent riding a bicycle
- We will be riding for long distances – up to 55km a day – so you will need to reasonably fit.
- We will be spending at least two nights in a hotel and one in a homestay, so while accommodation will be simple and comfortable, available amenities may vary.
- If riding 250km sounds like too much to chew, electric bikes are available.
- Each rider will need to raise a minimum of US$250 / AUD$350 to ride on top of the sign-up fee.
If I can’t ride, how can I support?
We know that not everyone can ride with us, but we’d still love your support!
There are many ways to support that don’t involve jumping in the saddle;
- Join in person on the adventure without having to ride! (I know, we still want to have you there to cheer us on.
- For non-riders Mr Biker Saigon can customize the program with a van and guide. The program will depend on the numbers, mobility etc. For meals, non-riders will meet with the riders to enjoy lunches together and meet together to assist with the delivery of the care packages at Vinh Long, Thoi Lai and Soc Trang.
- Sponsor someone who is riding or make a general donation.
- Make a donation for a DNA kit and processing cost.
- Make a donation to provide care packages for the elderly (US$30 / AUD$50 each).
- Make a donation towards building homes for the elderly (USD$5,000 / AUD$7,700 each).
- Make a donation towards general services and activities that support adoptees, their families.
Pre-event checks and processes
Visas
To apply for your visa, follow the online prompts on the Vietnamese Consulate site.
There are two fees required to obtain a visa; a pre-approval fee, and a stamping fee. Please visit the Consulate price guide for full details.
Note: the Vietnamese Consulate no-longer accepts visa applications in person, and will not answer the phone due to staffing shortages. If you have any questions that cannot be answered by the website, email support@vietnamvisa.govt.vn.
Insurance
We ask that attendees organise their own travel insurance. VNFS does not furnish participants with any form of insurance. - Designate cycling as a specified activity
- Include medical evacuation for in case of an emergency
- Include coverage for trip cancellation fees.
Vaccinations
It is required by the Vietnamese Government that the following vaccinations are received prior to travelling to Viet Nam;
- Yellow Fever (withing 6 days of arriving in Viet Nam when leaving or transiting an infected area)
It is recommended that the following vaccinations are received prior to travelling to Viet Nam;
- Routine vaccines (Chickenpox, Diphtheria-Tetanus-Pertussis (DTP), Flu, Measles-Mumps-Rubella (MMR), Polio, Shingles)
- COVID-19
- Hepatitis A and B
- Japanese encephalitis
- Tetanus, Paratyphoid A and B, and Typhoid (TABT)
- Malaria*
- Rabies
- Dengue

*Malaria medications are only recommended for certain areas of Viet Nam. While this event is not scheduled to visit any risk areas, you may want to talk with your doctor if you plan to travel elsewhere during your visit. For more information, visit the CDC’s information page on Malaria in Viet Nam.

Food and Dietary Requirements
The meals have been organised to support locally owned, eco-friendly and sustainable businesses to provide a unique and memorable excursion for you. For this reason, the event is partnering with local restaurants and community members in order to ensure that you have delicious, locally sourced and
unique food experiences on our journey together.
We are happy to provide support for riders with specific food allergies and dietary
requirements by providing vegan and vegetarian options. If you have specific nutrition requirements, please let us know when booking, so we can make sure we have the opportunity to meet your needs.
Bikes
We have partnered with Mr. Biker Saigon to source bikes for the event.
A range of mountain bicycles and electric assisted bicycles will be available to hire (see images below).
Even though Mr. Biker provide modern bikes and safety gear, we understand that sometimes you may wish to have your own personal items. We would suggest you bring your own helmet and cycling gloves for comfort. Regardless, if you are using one of Mr. Biker’s high-quality bikes or your own, we recommend taking advantage of a personal bike fitting session available 48 hours before the onset of

the expedition.
All bikes will be labelled with the rider’s name so that you have the same bike each
day and ensure the safety of your journey.
For those that would prefer to bring their own seat, Mr. Biker recommends just bringing the saddle so that it packs easily in your suitcase. If you prefer to bring also the seat pole, the diameter of the seat pole shaft should be 31.6mm. There will be mechanics on hand to assist fitting your seat onto your bike.
Whenever possible, we will cycle completely from the day’s outset to the final destination with limited transfers. Our core belief is that cycling is an act of empowerment for both the rider and the community, and we strive to provide the most meaningful and immersive cycling experience for all participants. However, as noted Mr. Biker will occasionally use their comfortable and modern 16-seater minivan to transport guests safely to either the beginning or end of the day’s route.
Also, taking into account your safety, this transport shuttle acts as a support vehicle to provide care for unforeseen emergencies.
Riders who wish to take a break from the bicycle after our designated lunch stop will have the opportunity to be transported in our support vehicle to our final destination for the day. We know that occasionally a journey is more difficult than it appears, and we are happy to work with each individual group to tailor our programs to your group needs.

Meet the Event Team

Sue-Yen Luiten (Luu Thi Van)
Director – Viet Nam Family Search
Sue is a Melbourne-based Vietnamese adoptee. She has been active in state, national, and international adoption advocacy since 1998, including membership in the National Intercountry Adoption Advisory Group (NICAAG), the Western Australian Adoption Sector Forum, Adoption Support for Families and Children (ASFC), the Vietnamese Adoptee Network (VAN), co-founding the Intercountry Adoptee Community (IAC), was an Advisory Committee member for International Social Services (ISS) Australia, and co-founded Vietnam Family Search. She also worked with Dr. Fronek at Griffiths University regarding the first National Study on Post Adoption Support.

Caroline Ticarro Nguyen
Co-Director – Catalyst Foundation
Caroline Nguyễn Ticarro emigrated to the U.S. from Vietnam at the age of 5. She graduated from St. Cloud State University with a degree in International Business and speaks fluent Vietnamese.
Following the adoption of twin girls from Vietnam in 1998, she founded the Catalyst Foundation to help children in Vietnam.
Caroline’s passion and work with Catalyst Foundation is tireless.
She is an inspiring leader and continually supports the voices of the people she serves. She balances guidance with respect and the outcome is that the communities establish self-governance, and a belief in themselves.

Kate Coghlan
Administrator – Australian Representative
Kate Coghlan was adopted from Vietnam in December 1974 by an Australian couple living in Melbourne. Kate returned to Vietnam for the first time when she was 20 years old with her adopted family. She recalls that it was on day two of this trip that her whole body on a cellular level felt at home. She has lived with anxiety and addressed her early childhood adoption trauma over many years with excellent therapeutic interventions.
Kate engaged the help of the International Social Services casework/tracing service in the hope of finding her family after watching the movie Lion. Inspired by the main character searching for his biological mother, she thought to herself if he can do it. So can I. The closest thing Kate has gotten to finding her bio family was a document that had her mother’s name on it.
She graduated with her social work degree in the mid-90s and knew she wanted to work to support others to live meaningful lives. In her personal life, Kate has volunteered her time by participating in research about inter-country adoptee services and their impacts on assisting adoptees. She has participated in interviews to help educate others on intercountry adoption and accepted opportunities to be interviewed in print media sharing her journey.
Kate has always fostered community in her life and knows the importance of building strong communities and creating opportunities for genuine human connection. This is one of the main reasons Kate is excited to be working with the formidable and incredible Sue Yen, a fellow Vietnamese adoptee on the Vietnam Family Search 20205 project. This project aims to give back to people in Vietnam who have lost their children to adoption and other Vietnam war-related reasons. She is passionate about connecting women and men who lost their children with adoptees to share stories and find a sense of healing throughout this project for them as well as herself.

Kerri Young
Specialist – UMeDNA
Kerri was born in Melbourne in 1968 and raised in the Eastern suburbs. As an adult, she traveled most parts of Australia for about ten years and returned to settle in Melbourne. At 16 years of age, Kerri’s mother was sent by Kerri’s grandmother to a single mother’s home in Richmond when she was six months pregnant. When Kerri was born, she became part of the forced adoption practice as her mother was forced to give her up due to not having any family support. Kerri recalls that her mother contacted her when she was 19 and they have been in constant contact with each other since. Together they embarked on a mission in search of Kerri’s father.
Kerri tested her DNA in 2015 via ancestry in the hope of finding her father. This ignited a passion in her to start working voluntarily assisting adoptees and people who were also searching for their fathers. Kerri found her father who was coincidentally living ten minutes away from her. She has been in close contact with him ever since. During the rekindling of their relationship, she learned that her father was also adopted in 1950 in an inner Melbourne suburb of Brunswick.
This sparked the drive for Kerri to research more about her paternal roots.
Kerri’s Dad consented for her to help him apply for his records as a starting point. Once they found a name, she started searching and found her grandmother’s sister who was also living close by. She was excited and tested her DNA which confirmed she was indeed that Kerri was her sister’s granddaughter. DNA testing has confirmed and proved that Kerri is who she says she is. Some of her found family members do not believe her, but the DNA evidence is clear and hard to refute or ignore.
Helping many people in Australia and overseas with DNA match researching has bought Kerri immense joy and satisfaction. She’s enjoyed the thrill of the chase with using both DNA and more traditional paper trace searching methods to help others search for family. She receives much happiness when she is helping families or people to find their missing tribe.

Gianna Mazzone
Professional Support Services
Gianna a strong commitment to contributing to the growth of robust and healthy individuals, families and communities. As a Gestalt Psychotherapist for over 20 years, her focus is working experientially with clients wishing to explore the life-long impact of developmental trauma and adult attachment issues. She endeavours to create a safe and nurturing therapeutic space where growth and change can be achieved through clarity and self-awareness.
Gianna has extensive experience working with a wide range of communities including LGBTIQ+, CaLD (Culturally and Linguistically Diverse) and First Nations people. She has also had the privilege of driving the pilot and subsequent early establishment of the national Intercountry Adoption Family Support Service (ICAFFS) from 2016 – 2021, working clinically with adult adoptees still to this day.
Gianna is also currently working as the Training Coordinator for, and Trainer of, the Tuning in to Kids suite of programs for the University of Melbourne.
